Privacy Policy

This policy explains what Kevin Clark Fitness collects when you use this website, why, and what control you have over it. It is written to describe what actually happens rather than to cover every theoretical case.
Who is responsible for your information
Kevin Clark Fitness (“we”, “us”) operates this website and the coaching platform behind it. If you have any question about your information, or want a copy of it or it deleted, email kevclarkfitness@gmail.com.
What we collect
If you just browse the site
Anonymous usage measurements only — pages visited, roughly where in the world the visit came from, and how quickly pages loaded. This is gathered by the analytics built into our hosting platform. It does not use advertising cookies, does not follow you to other websites, and is not used to build a profile of you.
If you submit the enquiry form
Your name, email address, phone number if you give one, the city and state you live in, the program you said you were interested in, what you are training for, and anything else you write in the message box. We keep this so Kevin can reply to you.
If you become a coaching client
Because the coaching itself depends on it, a client account holds a good deal more:
- —Account details — your name, email address, phone number and a password. Passwords are stored only as a secure one-way hash; nobody at Kevin Clark Fitness can read yours.
- —Training profile — your age, height, gender, goals, and any injuries or physical limitations you tell us about so your programming is safe and appropriate.
- —Training records — the workouts assigned to you, the sets, reps and weights you log, how hard sessions felt, and any notes you add.
- —Progress tracking — body measurements you choose to record, such as weight, body fat percentage and other measurements, and progress photos if you upload them.
- —Messages — your conversations with Kevin inside the platform, including any files or images you attach.
- —Billing records — which plan you are on, your payment history, and renewal dates. See “Payments” below for what happens to card details.
- —Coaching notes — private notes Kevin keeps about your coaching. These are visible only to Kevin and never shown to you in your dashboard.
Health and body information
Injury notes, body measurements and progress photos are personal and we treat them that way. They are used only to program and coach your training, are visible only to you and to Kevin, and are never sold, shared for advertising, or used for anything unrelated to your coaching.
Please note that Kevin Clark Fitness is a fitness coaching service, not a healthcare provider, so this information is not protected health information under HIPAA. Share only what you are comfortable sharing.
How we use your information
- —To reply to enquiries and arrange coaching.
- —To create and run your account, deliver your programming, and track your progress.
- —To message you about your coaching.
- —To take payment and manage your subscription or plan.
- —To send transactional email — account setup, payment receipts and confirmations. These are not marketing emails, and we do not send marketing email or newsletters from this site.
- —To keep the service working and secure.
We do not sell your personal information, and we do not share it with advertisers or data brokers.
Who else handles your information
Running the platform relies on a small number of established third-party service providers. Each is bound to handle your information only on our instructions, and each receives only what it needs to do its job:
- —A cloud database and file storage provider, which holds your account, your training records and any files you upload. Data is stored in the United States.
- —A payment processor, which handles the transaction and your card details (see “Payments” below).
- —An email delivery provider, which sends transactional email such as account setup links and payment confirmations.
- —A website hosting provider, which serves the site and provides the anonymous usage measurements described above.
We do not give these providers your information for their own purposes, and none of them use it to advertise to you. If you would like to know which providers we use, email kevclarkfitness@gmail.com and we will tell you.
We may also disclose information if we are legally required to, or where it is necessary to protect someone from harm.
Payments
Payments are handled entirely by Stripe. Your card number never reaches our servers and is never stored by us — we keep only a record of which plan you bought, what you paid, and when. Stripe’s own privacy policy governs how it handles your card details, at stripe.com/privacy.
Cookies
We use cookies that are necessary for the site to function — chiefly to keep you signed in to your dashboard and to complete checkout securely. We do not use advertising or cross-site tracking cookies.
How long we keep it
Enquiries are kept so Kevin has a record of who has been in touch. Client records are kept for as long as your account is active. If your account is closed, your training history is retained so Kevin has a record of the coaching relationship, but your login is deleted permanently and you will no longer be able to sign in. Payment records are kept as long as tax and accounting rules require. You can ask us to delete your information at any time — see below.
Your choices and rights
You can ask us to show you what we hold about you, correct anything wrong, or delete your information. Just email kevclarkfitness@gmail.com and we will action it. Depending on where you live — for example California, or the UK and EU — you may have additional statutory rights, including the right to object to certain processing or to complain to your local data protection regulator. We honour these requests regardless of where you live.
If you are a client, you can also view and edit much of your own information directly from your dashboard at any time, and manage or cancel your billing through the “Manage billing” link there.
Children
This service is intended for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us their information, email us and we will delete it.
Security
Data is transmitted over encrypted connections and stored with access controls that restrict each client’s records to that client and to Kevin. Passwords are hashed. No system can be guaranteed perfectly secure, but we take reasonable steps to protect your information and to limit who can reach it.
Changes to this policy
If this policy changes we will update the date at the top of this page. If a change materially affects how we use your information, we will tell clients directly.
